CONTRACT VARIATIONS

The terms and conditions outlined here govern the agreement between The Big Elephant Adventures (referred to as “the Company”) and you, the client. By confirming a booking, you agree to these terms, to the exclusion of any other conditions, unless a company officer gives you express written authorization.

We will not consider verbal or informal communication from our staff, representatives, or agents as binding unless an authorized company officer confirms it in writing. This ensures transparency for everyone involved. These terms protect both you and the Company and form the legal basis of your interaction with The Big Elephant Adventures.

All rates are accurate at the time of quotation. However, they are subject to change due to external factors like currency fluctuations, inflation, revised government tax laws, or regulatory fees. The Big Elephant Adventures reserves the right to apply surcharges in these cases. We will do everything we can to keep these adjustments minimal and will inform you promptly if changes occur.


 

BOOKING CONDITIONS & PAYMENT TERMS

To secure your reservation, you must pay a 40% deposit of the total tour cost. This deposit must be received in full in our official bank account. Only the amount actually credited to our bank account will be considered received, so you are responsible for all transaction or money transfer fees.

The remaining 60% balance is due no later than 45 days before the tour start date. For bookings made within 45 days of the departure date, full payment is required at the time of booking. This allows us to confirm all services with our partners, including accommodation, transportation, and park fees.

If you are unable to make a full payment by the due date, please contact us as soon as possible. While we cannot guarantee exceptions, we are committed to working with you to find reasonable alternatives or extensions where possible.


 

ALTERATIONS TO BOOKINGS

Any changes to an existing booking, such as travel dates, accommodations, the number of participants, or itinerary adjustments, must be submitted in writing. All changes are subject to availability and partner policies.

Each alteration will incur a non-refundable handling fee of USD 80, in addition to any fees imposed by third-party service providers (e.g., airlines, hotels, etc.). This fee covers the administrative work involved in rebooking and renegotiating rates.

Please be aware that not all changes may be possible depending on the timing and service provider terms, especially for last-minute alterations.


 

CHILDREN POLICY

We welcome families and offer special pricing for children traveling with adults.

  • Children aged 3 to 12 years sharing a room with two adults will be charged 50% to 75% of the adult rate.

  • If a child is sharing a room with another child, the rate will be 75% of the adult rate.

  • If a child is sharing with only one adult, the full adult rate will apply.

These rates include accommodation, meal plans, and activities. We will need a passport or birth certificate to verify age at the time of booking. For safety reasons, some activities may have age or height restrictions.


 

CANCELLATION POLICY

Cancellations must be submitted in writing via email or fax and will only be considered valid once acknowledged by The Big Elephant Adventures. We do not accept verbal cancellations.

Cancellation charges are based on the date we receive your cancellation notice:

  • 25% of the total cost will be charged if canceled 31 days or more before arrival.

  • 50% will be charged for cancellations received between 15 and 30 days before arrival.

  • 100% of the total cost will be charged for cancellations made within 14 days of the tour start date or for no-shows.

We understand that emergencies happen. If you contact us ahead of time, we will do our best to support your situation and explore potential refunds or rescheduling, depending on the circumstances and our service providers’ policies.


 

ASSUMPTION OF RISK

By booking a tour with us, you acknowledge that participating in an adventure or safari tour carries inherent risks, including but not limited to injury, illness, property loss, or, in rare cases, death. These risks may arise from natural terrain, wildlife, weather, or other uncontrollable factors.

The Big Elephant Adventures, including its employees, agents, and service partners, will not be held liable for any personal harm, injury, or property damage incurred during the tour. It is your responsibility to obtain appropriate travel insurance that covers medical emergencies, evacuation, trip cancellations, and lost belongings.

By agreeing to these terms, you agree to indemnify and hold the Company harmless from any claim arising from your participation in the tour.


 

GUIDE AUTHORITY & CLIENT CONDUCT

Throughout the tour, decisions made by The Big Elephant Adventures guides or drivers are final and binding. These professionals are trained to prioritize safety, logistics, and local regulations.

Clients are expected to behave responsibly and follow all laws, customs, and foreign exchange regulations of the countries visited. Inappropriate or disruptive behavior or a refusal to comply may result in expulsion from the tour at your own expense.


 

MARKETING & MEDIA CONSENT

Our team or people on behalf of the Company may take photographs and videos during your tour. We may use these for promotional, advertising, and marketing purposes, both online and in print.

By participating in the tour, you give The Big Elephant Adventures unrestricted permission to use such images and videos. You waive any rights to royalties or other compensation and allow the Company to retain full copyright.


 

CHANGES TO ITINERARY

While we strive to operate tours as planned, we reserve the right to modify routes, accommodations, or itineraries due to unforeseen circumstances like road closures, weather conditions, or changes in local conditions.

We will always make these changes with your safety and the overall tour quality in mind and will communicate any alterations as early as possible.


 

FORCE MAJEURE

The Company is not liable for tour disruptions resulting from events beyond our control, including but not limited to natural disasters, political unrest, war, strikes, mechanical failures, or government restrictions. In such cases, we will try to make suitable alternative arrangements but are not obligated to offer refunds or compensation for circumstances out of our control.


 

SCAM PREVENTION

Please be aware of online scams. If you receive an email or message requesting payment via MoneyGram or Western Union, do not respond. The Big Elephant Adventures does not accept payments through these platforms. We only accept payments via our official bank account.

If you have any doubts, contact us directly to verify our payment instructions.


 

COMPLAINTS & FEEDBACK

We value your feedback. If you experience any issues during your tour, please report them immediately to your guide or company representative. We are committed to resolving concerns promptly to ensure a positive experience for all our guests.

After the tour, we welcome your suggestions to help us improve our services.

SEASONAL RATES & QUOTES

Some bookings may span multiple pricing seasons, and as a result, the rates may vary. If your tour dates fall across two or more seasonal periods, our standard rate tables may not apply. Please contact us for a customized quote based on your exact travel dates.
